Google Sheets Connection for Printable Place Cards
Connect Google Sheets when your guest list is still changing and you need a repeatable workflow for printable place cards or escort cards.
Use Google Sheets when your guest list is still moving. It is the best option for wedding seating plans, escort cards, and other workflows where table assignments may change right up until the final print.
Benefits
- Live updates: Change a row in Google Sheets, then refresh the design without exporting a new file.
- Collaboration: One person can manage the seating list while another handles layout and printing.
- Cleaner revision workflow: Better than emailing new Excel files back and forth before each print run.
How to Connect
- Go to the Data Source tab.
- Click the Google Sheets icon.
- Sign In: A popup will ask you to authorize PlaceCard.us to view your spreadsheets. We only ask for read-only permission.
- Select File: Choose the spreadsheet that holds your guest list or seating assignments.
- Select Sheet: Choose the exact tab you want to print from. Ensure your data follows our Best Practices.
Usage Workflow
- Connect your sheet.
- Design your place card using the imported columns.
- If you change data in Google Sheets:
- Go back to the Data Source tab.
- Click the Sync/Refresh icon next to the filename.
- The updated names, table numbers, or meal values will pull in without rebuilding the design.
Recommended Column Structure
Start simple:
| Guest Name | Table | Seat | Meal |
|---|---|---|---|
| Emma Johnson | 8 | A1 | Vegetarian |
| Noah Carter | 8 | A2 | Chicken |
If a field does not need to print, leave it out of the sheet or ignore it during mapping.
Requirements
- You must have a Google Account.
- The spreadsheet must be accessible to that account.
- The first row must be headers.
Troubleshooting
"Authorization Failed"
- Ensure your browser is not blocking popups.
- Try clearing cache or using Incognito mode to sign in again.
"Sheet is empty"
- Ensure you selected the correct tab.
- Check that your data starts in cell A1.
"I added a column but it's not showing"
- You must click the Reload/Refresh button in the Data Source panel to fetch the new structure.
Unlinking
To disconnect a sheet:
- Go to Data Source.
- Click the Trash/Remove icon next to the connected sheet.
- This will clear the data from the editor. Your visual design elements will remain, but any Merge Fields will show placeholder errors until new data is bound.
