Use this guide to connect Google Sheets, upload Excel files, or import CSV data when creating printable place cards and escort cards from a guest list.
PlaceCard.us is built around one practical workflow: start with structured spreadsheet data, then turn it into printable place cards or escort cards. This section covers the supported data sources and the minimum structure needed for a clean import.
Supported Formats
Microsoft Excel (.xlsx, .xls)
Best when your seating plan is already finalized in a workbook. If the file has multiple tabs, you will be able to choose the sheet you want to import.
CSV (Comma Separated Values)
A universal text format that works well when your guest list came from another tool. Ensure your CSV is UTF-8 encoded if it contains special characters.
Google Sheets
Best when table assignments are still moving. A live Google Sheets connection lets you update the source sheet and refresh the design without exporting a new file each time.
Data Best Practices
1. Header Row
Make sure the first row of your file contains meaningful headers.
- Good:
Guest Name,Table,Seat,Meal - Bad:
Column A,Data 1,Untitled
These headers become the field names you use in your design (for example {{Guest Name}}).
2. Clean Data
- Remove empty rows before upload to avoid generating blank cards.
- Keep table names and meal values consistent for the cleanest output.
3. Optional Fields
Most place card workflows only need a few columns. Start with Guest Name, then add Table, Seat, or Meal only if those details should print on the final card.
Privacy & Security
Your data is processed securely. We do not store your spreadsheet data permanently unless you explicitly save a project to your account. You keep control of the source spreadsheet and the final output.
